Start with the company’s website

Most companies publish an address to be contacted. It is the most reliable source, and it is the address they expect people to use.

  • The “Contact” page: often a generic address (contact@, hello@, info@) or a form.
  • The legal notice or imprint: in many European countries, business websites must show a way to contact the publisher.
  • The footer and the “About” page: sometimes an address per department (press@, partnerships@, careers@).

If there is only a contact form, use it: it is an official way in, and your message will be read there.

Other public sources

  • The company’s listing on Google Maps or in a business directory.
  • Its social media: the Instagram bio, the LinkedIn or Facebook page often show an address or a button to write to them.
  • Press releases and articles, which sometimes give a dedicated contact.

Which address should you choose?

A generic address (contact@) is read by someone who forwards useful messages. A department address (marketing@, communication@) is even better if your offer concerns that department. In a very small company, the general contact often goes straight to the owner.

Avoid guessing addresses at random (firstname.lastname@…): a made-up address may not exist, and a bounced email damages your mailbox’s reputation.

Mistakes to avoid

  • Writing to a personal address (gmail, hotmail…) found by chance: stick to professional addresses.
  • Buying email lists: often out of date, and legally risky.
  • Writing to several people in the same company at the same time with the same text.
  • Forgetting to check the spelling of the address before sending.

Save time with Prospera

Looking for a company and its contact by hand quickly takes a quarter of an hour. Prospera finds a company that matches your skill, with its public contact, and writes the email. No address is made up: if no reliable contact is found, the company is not suggested.

FAQ

Is it legal to use an address found on a website?

Writing to a professional address published by the company, about an offer related to its business and with an easy way to decline, is generally accepted in B2B in many countries. Check the rules of the country you target; this is not legal advice.

What if the company only has a form?

Use it with the same short, personalised message you would have sent by email.
